Privacy Policy

Last Updated: March 2025

At UltronCastFlux, we respect your privacy. This isn't just legal boilerplate—we actually mean it. When you trust us with your information while building iOS and Android applications, we take that responsibility seriously.

This policy explains what data we collect, why we need it, and what we do with it. We've written it in plain English because legal jargon doesn't help anyone understand their rights.

Who We Are

UltronCastFlux operates from Port Macquarie, New South Wales, providing mobile app development services throughout Australia. We're bound by Australian privacy laws, including the Privacy Act 1988 and the Australian Privacy Principles (APPs).

Our primary business is creating custom iOS and Android applications for clients. Everything we collect relates to delivering this service effectively.

Information We Collect

Information You Give Us Directly

When you contact us or start a project, we'll ask for:

  • Your name and the name of your business or organization
  • Email address and phone number so we can actually respond to you
  • Project details including what you're trying to build and why
  • Technical requirements specific to your app development needs
  • Business information if you're hiring us for commercial work

Information We Collect Automatically

Our website gathers standard technical information:

  • IP address and general location data (city level, nothing creepy)
  • Browser type and device information to ensure our site works properly
  • Pages you visit and how long you spend on them
  • How you found us—whether through search, referral, or direct visit

We use this to improve our website and understand which services people are actually interested in.

Project-Related Information

During app development, we'll handle:

  • Design files, wireframes, and creative assets you provide
  • Source code and technical documentation we create for your project
  • Communication history about project decisions and changes
  • Testing data and feedback from development phases
  • Any third-party service credentials you authorize us to use

How We Use Your Information

We use your data for legitimate business purposes:

  • Communicating with you about your project—updates, questions, deliverables
  • Building and testing the mobile applications you've hired us to create
  • Managing project timelines, milestones, and deliverables
  • Invoicing and processing payments for our services
  • Providing ongoing support and maintenance when contracted
  • Improving our development processes based on project learnings
  • Complying with Australian tax and business reporting requirements

We don't sell your information. Ever. Your project details, contact information, and business data aren't products we're looking to monetize. Our business model is straightforward: you pay us to build apps, not to become part of a data pipeline.

Who We Share Information With

Sometimes we need to share limited information with third parties to do our job:

Who What They Get Why
Cloud Hosting Providers Technical data, project files Hosting development environments and storing project assets securely
Email Service Providers Contact details, communication content Sending project updates and responding to inquiries
Payment Processors Billing information, invoice details Processing payments for our services
App Store Platforms App submission data, developer credentials Publishing your apps to Apple App Store and Google Play

All third-party providers are contractually bound to protect your information and can only use it for the specific purposes we've authorized.

Legal Requirements

We'll disclose information if legally required to do so—court orders, government requests, or situations where we genuinely believe disclosure prevents harm or protects rights.

Your Rights Under Australian Privacy Law

The Australian Privacy Principles give you specific rights. Here's what you can do and how to actually exercise those rights:

Access Your Information

You can request a copy of the personal information we hold about you. We'll provide it within 30 days in a commonly used electronic format. There's no charge for reasonable requests.

Correct Inaccurate Information

If something we have on file is wrong, tell us. We'll update it promptly. This includes contact details, business information, or project specifications.

Request Deletion

You can ask us to delete your personal information. We'll comply unless we have a legitimate reason to keep it—like unfinished contractual obligations, ongoing projects, or legal requirements to retain records.

Object to Processing

If you believe we're using your information inappropriately, you can object. We'll review the situation and either stop the processing or explain why we need to continue.

Withdraw Consent

Where we're processing your information based on your consent, you can withdraw that consent anytime. This doesn't affect processing that already happened.

To exercise any of these rights: Email us at contact@ultroncastflux.com with your request. We'll respond within 30 days. If we need to verify your identity first, we'll let you know what information we need.

How We Protect Your Information

Security isn't just an IT checkbox for us—it's fundamental to how we operate:

  • All data transmitted to and from our systems uses industry-standard encryption
  • Project files and client data are stored on secure, access-controlled servers
  • Our team uses two-factor authentication for accessing client information
  • We maintain regular backups with encrypted storage to prevent data loss
  • Development environments are isolated from production systems
  • We conduct regular security audits of our infrastructure and practices

That said, no system is completely impenetrable. We follow best practices, but we can't guarantee absolute security. If we ever experience a data breach that affects your information, we'll notify you promptly and explain what happened and what we're doing about it.

How Long We Keep Your Information

We don't keep information longer than necessary. Here's our general approach:

Active Projects

During active development, we retain all project information, communications, and files. This ensures continuity and allows us to reference past decisions.

Completed Projects

After project completion, we keep source code, documentation, and essential communications for 12 months. This supports any warranty work or follow-up questions.

Financial Records

Australian tax law requires us to keep invoices and payment records for seven years. We're legally obligated to maintain these records.

Inquiry Information

If you contacted us but didn't proceed with a project, we keep your inquiry information for 24 months in case you return. After that, it's deleted.

You can request earlier deletion of your information anytime, subject to our legal and contractual obligations.

Cookies and Tracking

Our website uses cookies—small text files stored on your device. We're not tracking your every move across the internet, but we do use cookies for:

  • Remembering your preferences so the site works better for you
  • Understanding which pages people visit most often
  • Analyzing general traffic patterns to improve our content
  • Measuring how effective our marketing efforts are

You can disable cookies in your browser settings. The site will still work, though some features might not function optimally.

We don't use third-party advertising cookies or sell your browsing data to advertisers.

International Data Transfers

We're based in Australia and primarily serve Australian clients. However, modern cloud infrastructure sometimes means data passes through servers in other countries.

When we use international services (like cloud hosting or email platforms), we ensure they provide adequate data protection comparable to Australian standards. Any provider handling your information signs agreements requiring them to protect your data appropriately.

If you have specific requirements about where your data can be stored geographically, let us know. We can often accommodate those requirements.

Children's Privacy

Our services are designed for businesses and organizations, not children. We don't knowingly collect information from anyone under 18 without parental consent.

If you're a parent and believe your child has provided us with personal information, contact us immediately. We'll delete it promptly.

Changes to This Policy

We update this policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you via email if we have your contact information, or post a notice on our website.

The "Last Updated" date at the top of this page tells you when we last revised the policy. We encourage you to review it periodically.

Continued use of our services after changes take effect means you accept the updated policy.

Complaints and Disputes

If you have concerns about how we've handled your personal information:

  1. Contact us first using the details below. We'll work with you to resolve the issue.
  2. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
  3. The OAIC website (oaic.gov.au) has information about the complaint process and your rights.

We prefer to resolve issues directly, but you have the right to escalate to the regulator if needed.
